Smile Avenue Family Dentistry, a thriving, multi-faceted dental practice, is seeking a highly motivated Scheduling Coordinator to join our dynamic team. Located in the heart of Cypress, TX, this role goes beyond the typical front desk duties and offers a chance to actively shape the patient experience. As the first point of contact, you will not only handle the scheduling but also ensure that every patient feels exceptionally cared for from the moment they reach out to us.

This full-time position involves a proactive engagement with patients to manage appointments effectively and provide top-notch customer service. Unlike remote jobs, this role requires a consistent on-site presence to directly interact with our patients and maintain the vibrant atmosphere of our office. Duties and Responsibilities

  • Professionally answer all calls with a focus on high conversion rates for scheduling appointments.
  • Warmly greet patients by name, manage their check-in/check-out processes, and ensure they receive outstanding hospitality.
  • Proactively schedule patients' next appointments using the "Don't Ask" method to ensure continuous patient care.
  • Implement a 5-day escalating confirmation process to minimize appointment no-shows.
  • Execute at least 20+ outbound calls daily to optimize the appointment schedule and fill open slots.
  • Consistently maintain the cleanliness and organization of the reception area, beverage bar, and restroom, adhering to 5-star standards.
  • Actively solicit Google reviews from satisfied patients during the checkout process.
  • Efficiently open and close the front office daily, ensuring everything is orderly and prepared for each workday.

Requirements

  • Minimum of 1 year of experience in a dental front office environment.
  • Confident and strategic phone handling skills that go beyond mere answering to actively control and direct calls proficiently.
  • A warm and professional demeanor that makes patients feel genuinely welcome and esteemed.
  • Proficiency in Dental Practice Management Software (Open Dental) and a good grasp of dental insurance terminologies.
  • Experience with call tracking platforms such as Dental Intelligence is preferred.
  • Experience in settings involving multiple providers or locations is advantageous.
  • Proven track record of improving appointment conversion rates, reducing no-shows, and enhancing patient review volumes.
