Treatment Coordinator – Smile Avenue Family Dentistry

Smile Avenue Family Dentistry, a dynamic and expanding dental group based in Cypress, TX, is excited to announce a job opening for a Full-Time Treatment Coordinator. In this pivotal role, the ideal candidate will be responsible for expertly presenting treatment plans, securing financial commitments from patients, and consistently following up on unscheduled treatments. This on-site position emphasizes direct patient interaction, focusing solely on financial and treatment plan discussions without the distractions of insurance claims or billing processes. This opportunity offers a competitive compensation package of $22-26 per hour, based on experience, plus eligibility for bonuses. Additional benefits include health insurance, paid time off, paid holidays, and a continuing education allowance. This role reports to the Office Manager and is based in Cypress, TX.

Duties and Responsibilities

  • Present treatment plans clearly using a standardized, concise financial form designed for patient understanding and immediate commitment.
  • Secure financial arrangements, ensuring payments or payment plans are agreed upon before scheduling treatments.
  • Proactively make a minimum of 20 outbound calls daily to patients with diagnosed but unscheduled treatments.
  • Follow a structured follow-up cadence with patients, touching base at 2 days, 2 weeks, and 2 months post-diagnosis to secure commitment.
  • Handle payment processing, coordinate payment retries, and perform collections calls for outstanding balances.
  • Strategically fill open slots in doctors’ schedules by prioritizing patients with pending treatments.
  • Maintain accurate tracking of accepted treatment dollars on a weekly basis, focusing on the key performance metrics.

Requirements

  • Minimum of 1 year experience in dental front office operations or as a treatment coordinator.
  • Confidence and comfort in presenting financial information and treatment plans to patients directly.
  • Demonstrated ability to handle patient objections regarding costs effectively, maintaining professionalism and poise.
  • Proficiency in using dental practice management software to streamline and manage patient interactions and data.
  • Strong organizational skills with the capability to manage multiple tasks such as call lists, follow-up schedules, and payment tracking simultaneously.
  • Preferred experience includes familiarity with patient financing platforms like Sunbit, Cherry, and CareCredit.
  • Preferably experienced in a multi-provider or multi-location dental practice setting.
  • A proven track record of improving case acceptance rates in previous employment.
