We're looking for a highly organized, dependable, and proactive Operations Coordinator to support our field teams, customers, and project operations during our afternoon and evening shift.

This is a fast-paced position for someone who communicates well, pays close attention to details, follows through on commitments, and can confidently manage multiple priorities without losing track of the details.

This is not a traditional receptionist or customer service position. You'll play an important role in keeping field operations organized, customers informed, schedules accurate, and our teams prepared for successful projects.

What You'll Do

As an Operations Coordinator, you'll serve as a critical connection between our field technicians, customers, project management, sales team, and other Operations Coordinators.

Your responsibilities will include:

  • Coordinate daily field operations and support technicians throughout the afternoon and evening

  • Monitor active projects and communicate schedule changes, delays, and project updates

  • Maintain accurate schedules, project information, notes, and documentation within company software systems

  • Communicate with customers regarding technician arrival times, project progress, scheduling, access requirements, and other project-related information

  • Coordinate with field teams to ensure they have the information, materials, equipment, and resources needed to complete scheduled work

  • Review technician updates and follow up when required information or documentation is missing

  • Ensure project notes, photos, videos, appointments, and other required information are entered accurately and on time

  • Assist with resolving scheduling conflicts and operational issues as they arise

  • Coordinate changes between field crews, customers, and internal departments

  • Help prepare the following day's field schedule and confirm crews are prepared for upcoming projects

  • Ensure important information from the afternoon and evening is properly documented and communicated for the next day's operations

  • Maintain professional and responsive communication with customers throughout their project

  • Support the Operations Department with additional administrative and project coordination responsibilities as needed

What We're Looking For

This is not an entry-level administrative position.

We're looking for someone who can take ownership of their responsibilities, recognize when something needs attention, and follow an issue through until it is resolved.

The right person doesn't simply complete tasks—they pay attention to what's happening around them, identify missing information, communicate proactively, and help keep the entire operation moving.

Required Qualifications

  • 2+ years of experience in operations coordination, dispatch, scheduling, construction administration, project coordination, customer service, or a similar fast-paced environment

  • Strong organizational and time-management skills

  • Exceptional attention to detail and accuracy

  • Strong written and verbal communication skills

  • Ability to manage multiple priorities and changing schedules simultaneously

  • Comfortable communicating with field technicians, customers, managers, and other departments

  • Strong computer skills and ability to quickly learn new software

  • Comfortable using smartphones, tablets, Google Workspace, and digital job-management systems

  • Ability to remain professional and solution-focused when handling scheduling changes or challenging situations

  • Ability to work the 11:00 AM–7:30 PM shift consistently

Preferred Qualifications

Experience in any of the following is highly valued:

  • Construction or field service operations

  • Dispatching or technician scheduling

  • Project coordination

  • ServiceTitan or similar field-service management software

  • Google Workspace

  • Customer communication

  • Utility, plumbing, excavation, or construction industries

  • Coordinating multiple field crews or service technicians
