Admin/Bookkeeper Wanted

Salary Range:  $22 - $25 hour

We are seeking a detail-oriented and highly organized Bookkeeper/Administrator to join our team. This position is responsible for managing financial transactions, maintaining accurate records, and providing administrative support to ensure smooth daily operations. The ideal candidate is efficient, proactive, and experienced in bookkeeping and office administration.

Key Responsibilities:

Bookkeeping Duties:

  • Ensure tax compliance, including HST, WSIB filings and year-end financial reporting.
  • Maintain financial records and manage daily transactions using QuickBooks Desktop 2016 Pro (or updated software).
  • Record and reconcile accounts payable and receivable.
  • Process invoices, payments, and payroll in a timely manner.
  • Prepare financial statements, reports, and balance sheets as needed.
  • Track expenses, categorize transactions, and manage budgets.
  • Work closely with the accountant to prepare for audits and tax returns.

Administrative Duties:

  • Manage correspondence, emails, and phone calls professionally.
  • Schedule meetings, maintain calendars, and assist with office organization.
  • Prepare and file company documents, contracts, and reports.
  • Assist with customer inquiries and maintain a positive client experience.
  • Order office supplies and manage vendor relationships.
  • Provide administrative support to management and project teams as needed.

Qualifications & Skills:

  • Proven experience in bookkeeping and office administration (minimum 2 years preferred).
  • Proficiency in QuickBooks Desktop and Microsoft Office (Excel, Word, Outlook).
  • Strong knowledge of accounting principles and financial reporting.
  • Excellent organizational and time management skills.
  • High level of attention to detail and accuracy.
  • Strong communication skills, both verbal and written.
  • Ability to multitask and work independently in a fast-paced environment.

Preferred Qualifications:

  • Experience in the construction/painting industry is an asset.
  • Knowledge of payroll systems and tax regulations in Ontario.
