Duties and Responsibilities
- Answer and direct phone calls to relevant staff.
- Schedule meetings and appointments; maintain calendar events for management.
- Create quotes and invoices for client transactions and ensure they are sent timely.
- Assist in the preparation and organization of documentation and reports.
- Work on assigned projects aimed at business growth and expansion initiatives.
- Coordinate logistics for internal events and presentations.
- Handle incoming and outgoing correspondences and ensure items are distributed and stored appropriately.
- Provide clerical support to management and other staff.
- Maintain and ensure a clean and organize office environment daily.
- Manage supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing, and expediting orders for supplies.
- Assist in the follow-up with clients when necessary.
- Support bookkeeping and budgeting procedures for the office.
Requirements
- Proven experience as an office assistant or in another relevant administrative role.
- Strong organizational and planning skills.
- Strong communication skills, both verbal and written.
- Pleasant and professional demeanor.
- Punctual, with a strong sense of time management.
- Proficiency in the Microsoft Office 365 suite of products.
- Ability to handle multiple tasks with attention to detail.
- Capability to work both in a team and independently when needed.
- Evidence of the ability to practice a high level of confidentiality.
- Excellent documentation skills.
- Bachelor’s degree in business administration, communications, or a relevant field preferred.
