Agave Pediatrics, a reputable and family-oriented pediatric practice, is excited to announce an opening for the position of Medical Front Office Representative. This role is crucial in facilitating the smooth operation of our front office and ensuring that our patients and their families receive the highest level of care and service. We are seeking a dedicated, professional individual ready to contribute significantly to our dynamic team. This is a full-time position based at our main office, and it is important to note that this is not a remote job.

The ideal candidate will be the first point of contact for our patients, making a strong impression with professionalism and empathy. This role includes various administrative responsibilities, all revolving around providing exceptional customer service and support to both our young patients and their families. Duties and Responsibilities

  • Warmly greet patients and families as they arrive, check them in, and notify appropriate personnel of their arrival.
  • Coordinate and schedule appointments, including follow-ups and referrals, and manage physician calendars.
  • Handle front office communications, including fielding phone calls and responding to emails and patient inquiries.
  • Maintain patient accounts by obtaining, recording, and updating personal and financial information while ensuring confidentiality.
  • Facilitate patient flow by notifying the provider of patients' arrival, being aware of delays, and communicating with patients and clinical staff.
  • Process billing transactions, collect payments at the time of service, and handle billing inquiries.
  • Prepare, maintain, and update electronic and printed medical records and other documents as necessary.
  • Ensure the reception area remains tidy and welcoming at all times.
  • Provide general administrative support such as faxing, filing, and photocopying.

Requirements

  • Education: High School Diploma or equivalent (GED) preferred.
  • Experience: 1 – 2 years of experience in a similar position or function preferred.
  • Licensure/Certification: CPR certification preferred.
  • Knowledge and Training:
    • Ability to evaluate the effectiveness of existing methods and procedures.
    • Ability to communicate effectively with patients, parents, clinical administrative staff, and the public.
    • Ability to interpret, adapt, and apply guidelines, policies, and procedures.
    • Skill in dealing with interpersonal issues and customer relations.
    • Ability to handle multiple priorities at once with minimal supervision.
    • Ability to plan and organize.
