We’re looking for a Patient Care Coordinator who genuinely cares about people — someone who can create an exceptional first impression, guide patients with confidence, and ensure every interaction feels seamless and supportive.
You’ll be the voice of the practice, helping patients feel comfortable, informed, and taken care of from their very first call through their visit.
At the same time, you’ll play a key role in keeping our schedule organized, full, and running efficiently — especially within our hygiene department.
Answer inbound calls, texts, and online inquiries with warmth and professionalism
Help patients feel heard, understood, and confident in choosing our office
Clearly explain next steps and guide patients into scheduling
Assist new patients in finding appointment times that fit their needs
Answer questions and provide helpful, accurate information
Ensure a smooth transition from first contact to confirmed appointment
Help maintain a well-balanced, organized hygiene schedule
Assist in filling openings and managing appointment changes
Reach out to patients due for visits or who need rescheduling
Support a steady flow that keeps both patients and providers on track
Follow up with patients who:
Missed calls or appointments
Need help getting rescheduled
Are due for hygiene visits
Communicate via phone, text, and email in a friendly and professional tone
Document all interactions accurately within our systems
Be a reliable, positive point of contact for patients
Help patients feel comfortable asking questions and moving forward with care
Maintain a calm, organized, and solution-oriented approach at all times
Minimum 2+ years of dental experience (REQUIRED)
Experience answering phones and scheduling patients in a dental setting
Familiarity with hygiene scheduling workflows
Experience with Dentrix
Strong communication and organizational skills
Preferred (Strong Bonus)
Training with Scheduling Institute
5-Star Certified or similar patient experience training
Experience in a multi-location or high-volume practice
