Dental Patient Care Coordinator
About the Role

We’re looking for a Patient Care Coordinator who genuinely cares about people — someone who can create an exceptional first impression, guide patients with confidence, and ensure every interaction feels seamless and supportive.

You’ll be the voice of the practice, helping patients feel comfortable, informed, and taken care of from their very first call through their visit.

At the same time, you’ll play a key role in keeping our schedule organized, full, and running efficiently — especially within our hygiene department.

What You’ll Do

Create an Exceptional First Impression

  • Answer inbound calls, texts, and online inquiries with warmth and professionalism

  • Help patients feel heard, understood, and confident in choosing our office

  • Clearly explain next steps and guide patients into scheduling

Support New Patient Scheduling

  • Assist new patients in finding appointment times that fit their needs

  • Answer questions and provide helpful, accurate information

  • Ensure a smooth transition from first contact to confirmed appointment

Hygiene Schedule Coordination

  • Help maintain a well-balanced, organized hygiene schedule

  • Assist in filling openings and managing appointment changes

  • Reach out to patients due for visits or who need rescheduling

  • Support a steady flow that keeps both patients and providers on track

Patient Follow-Up & Communication

  • Follow up with patients who:

    • Missed calls or appointments

    • Need help getting rescheduled

    • Are due for hygiene visits

  • Communicate via phone, text, and email in a friendly and professional tone

  • Document all interactions accurately within our systems

Deliver a 5-Star Patient Experience

  • Be a reliable, positive point of contact for patients

  • Help patients feel comfortable asking questions and moving forward with care

  • Maintain a calm, organized, and solution-oriented approach at all times

Requirements

  • Minimum 2+ years of dental experience (REQUIRED)

  • Experience answering phones and scheduling patients in a dental setting

  • Familiarity with hygiene scheduling workflows

  • Experience with Dentrix

  • Strong communication and organizational skills

Preferred (Strong Bonus)

  • Training with Scheduling Institute

  • 5-Star Certified or similar patient experience training

  • Experience in a multi-location or high-volume practice

What Makes You a Great Fit

  • You are warm, professional, and patient-focused

  • You communicate clearly and confidently

  • You stay organized and calm in a fast-paced environment

  • You take initiative and follow through

  • You genuinely enjoy helping people

How You’ll Be Measured

  • New patient scheduling success

  • Hygiene schedule consistency and organization

  • Follow-up completion and responsiveness

  • Overall patient experience and communication quality

Why This Role Matters

For many patients, you are their first interaction with our practice.

The way you communicate, guide, and support them sets the tone for their entire experience — and plays a key role in helping them take the next step toward care.

If you’re someone who takes pride in delivering a great experience, stays organized, and enjoys helping patients feel confident and cared for — we’d love to meet you.
