Position Overview
We are seeking a highly driven, organized, and patient-focused Patient Care & Treatment Coordinator to support a growing, multi-location dental organization.
This is a remote, performance-based role responsible for driving patient engagement and production across multiple offices and providers.
You will take ownership of:
Re-engaging patients with broken appointments
Reactivating unscheduled hygiene
Converting unscheduled treatment plans into completed care
This role requires someone who can operate at a high level — balancing patient communication, scheduling strategy, and production goals across a large organization.
Key Responsibilities
Patient Reactivation & Outreach
Proactively contact patients across multiple locations regarding:
Broken or missed appointments
Unscheduled hygiene visits
Outstanding treatment plans
Execute consistent and strategic follow-up across phone, text, and email
Build urgency and value to move patients into the schedule
Treatment Coordination & Presentation
Present treatment plans clearly and confidently to patients remotely
Review insurance breakdowns, estimates, and financial options with accuracy
Address questions and overcome objections to increase case acceptance
Strategic Scheduling Across Locations
Coordinate and schedule appointments across multiple providers and offices
Optimize schedules to maximize production and minimize gaps
Align scheduling with provider availability, case priority, and production goals
Insurance & Financial Coordination
Verify and interpret insurance benefits
Clearly communicate patient responsibility and payment options
Support patients in moving forward with treatment confidently
Performance & KPI Management
Meet and exceed key performance indicators, including:
Reactivation rate
Treatment acceptance
Schedule utilization
Production growth across locations
Maintain accurate tracking of patient pipelines and follow-up efforts
Department & Systems Development
Assist in building and refining systems for:
Patient reactivation workflows
Follow-up protocols
Multi-location scheduling efficiency
Collaborate with leadership to continuously improve processes and outcomes
3+ years of experience in dental treatment coordination or front office
Experience supporting multiple providers or locations strongly preferred
Strong understanding of:
Dental terminology
Treatment planning
Insurance breakdowns
Proven ability to:
Present and close treatment
Manage patient objections
Drive case acceptance remotely
Experience with Dentrix
Experience with a CRM
Comfortable working across multiple systems and schedules simultaneously
Highly organized, detail-oriented, and goal-driven
Excellent communication skills (phone, text, and written)
