Position: Office Support Specialist

Work Schedule:

This is a part time position, please see schedule below. Must be available to work during these times.

In Office:
  • Monday & Friday: 8:00 AM - 5:00 PM
  • Tuesday, Wednesday, & Thursday: 1:30 PM - 5:00 PM
Remote:
  • Sunday Evening: 1-2 hours (flexible)


Daily Responsibilities:

  • Answer Phones: Must have excellent phone skills to provide amazing support and information to customers and vendors.
  • Schedule Roof Inspections: Coordinate with our reps to ensure timely and efficient inspections.
  • Data Entry: Learn and utilize our CRM systems for data management.
  • Monitor Job Statuses: Keep track of ongoing projects and update relevant parties.
  • Assist Office Staff: Help out with various needs around the office.
  • Support Management: Assist with data entry, scheduling, and other administrative tasks.
  • Event Planning: Organize and manage company events and meetings as needed.
  • Send Documents: Distribute important documents to customers and within the company.
  • Warranty Registration: Register warranties and liaise with customers and insurance companies regarding scheduling.
  • Proficiency Required: Must be able to type at a reasonable speed and be proficient in Excel, Word, and general computer basics.

The ideal candidate is a fast learner and thrives in a small office, able to multi-task and help around the office with different duties as needed. Have the ability to see where help is needed and jump in to help out team members with various tasks such as cleaning, setting up or planning events, communicating with the team clearly and efficiently. As a small business, everyone has an important role and everyone is expected to be flexible and work as a team to provide the best customer service experience for our customers.

  • Great Phone Voice: Must have a professional and friendly demeanor, top notch customer service is expected.
  • Patience: Be patient and considerate when dealing with customers and vendors, be able to calmly de-escalate upset callers.
  • Organizational Skills: Ability to handle multiple tasks and stay organized.
  • Tech-Savvy: Must be comfortable with a minimum basic computer skills, our CRM system and various office software.
  • Reliable: Able to manage both in-office and remote responsibilities efficiently.
