The Administrative Assistant will serve as a central figure in managing daily administrative tasks and ensuring effective communication within the office. This role is perfect for detail-oriented individuals who excel in structured, fast-paced settings.

Duties and Responsibilities

  • Managing calendars and scheduling appointments for staff and management.
  • Answering and directing phone calls to relevant staff members.
  • Handling email correspondence and ensuring timely communication both internally and externally.
  • Preparing and distributing essential documents, reports, and presentations to facilitate decision-making processes.
  • Maintaining organized filing systems and records to support efficient office workflow.
  • Arranging travel and accommodations for staff attending external meetings or conferences.
  • Coordinating the logistics of meetings and conferences, including room bookings and technology setup.
  • Managing inventories of office supplies and overseeing the maintenance of office equipment to avoid disruptions in the workplace.
  • Performing data entry tasks and ensuring the accuracy of records kept.
  • Handling basic accounting duties and financial transactions, dependent on individual role requirements.

Requirements

  • Proven experience as an administrative assistant or similar role.
  • Strong organizational skills with the ability to multitask and prioritize workload.
  • Excellent verbal and written communication skills.
  • Proficiency in MS Office (particularly MS Word, Excel, and Outlook).
  • High level of discretion and confidentiality.
  • Ability to work independently and as part of a team.
  • A keen eye for detail and a commitment to high-quality work.
  • Capability to handle stressful situations and deadline pressures with composure.
  • Experience in arranging travel and scheduling in a professional context.
  • An Associate's degree in business administration or a related field is preferred but not required.
