The WaitStaff Team (TWST) is hiring an Event & Client Services Coordinator to support our growing business. In the past year alone, we’ve grown nearly 50%, and we’re looking for motivated team members who can help us continue expanding. While this role is seasonal (April–October), there is potential for long-term growth as TWST continues to scale.

This is a part-time, semi-remote role, but candidates must be based in the Portland, OR area to support local meetings.

About the Role:

As the Event & Client Services Coordinator, you’ll be the initial and continued point of contact for clients and helping the client from first phone call to sending the invoice post event. Your job is to ensure smooth communication, logistics, and planning. You’ll also assist with administrative support and work closely with our office manager to deliver exceptional customer service.

Key Responsibilities:

✅ Create event estimates based on client inquiries.

✅ Act as the main point of contact for booked clients, managing communication and event logistics.

✅ Conduct pre-event calls with clients to confirm details and adjust services as needed.

✅ Maintain event order information, invoices, and client records.

✅ Assist with day-to-day administrative support, including responding to event inquiries via phone and email.

✅ Coordinate with clients to finalize food, beverage, rentals, and staffing details.

✅ Ensure company policies align with client requests and event needs.

✅ Occasionally assist with marketing efforts, such as attending open houses and responding to inquiries.

Qualifications & Skills

Must Have:

• 2+ years of experience in events (required).
• 2+ years of customer service experience (required).
• 1+ years of Experience with estimating, invoicing
• Strong email and phone communication skills.
• Excellent time management and organizational skills.

Nice to Have:

• Experience in a CRM software.
• Background in the restaurant, catering or hospitality industry.

Schedule & Compensation

• Part-time, flexible hours (Monday–Friday, 8 AM–5 PM, no weekends or evenings).
• Remote role, but must be based in Portland, OR.
• $22–$26/hour DOE.
• Potential for continued employment beyond October based on company growth.
