Project Coordinator – New Construction Team

About the Role:

We are seeking a highly organized and driven Project Coordinator to support our growing New Construction team. This role is ideal for someone who likes client interaction, enjoys working collaboratively, and is eager to build a long-term career in project management or estimating. The Project Coordinator will provide administrative and project support to ensure our team delivers exceptional service from pre-construction through project closeout.

Key Responsibilities:

Project & Document Support

Assist in preparing, managing, and distributing project documentation, including:

- Bid packages

- Bulletins and addendums

- Change orders

- Close-out documentation

- Contracts and project correspondence

Maintain organized project files, schedules, and logs to ensure accuracy and accessibility

Support Project Managers and Estimators with pre-construction tasks, takeoffs, and bid preparation

Client & Bid Coordination

Develop relationships with clients. Build on this overtime 

Track outgoing bids and assist with timely follow-up to secure work

Communicate with clients, vendors, and subcontractors to gather required information and ensure timely responses

Support bid deadlines, proposals, and qualification submissions

Team Collaboration

Work closely with Project Managers, Estimators, and the Operations Manager to support project execution and team goals

Assist with subcontractor coordination, and team meeting preparation

Provide general support to keep project tasks on schedule and aligned with client expectations

Qualifications Required:

Good client relationship skills – personable 

Strong organizational skills with high attention to detail

Excellent written and verbal communication skills

Proficiency in Microsoft Office (Word, Excel, Outlook); experience with project software is a plus

Ability to manage multiple priorities and deadlines in a fast-paced environment

Preferred:

Experience in construction, or project-based environments

Understanding of construction documents, drawings, and project terminology
