Job Description

A Small World Pediatric Dentistry, a vibrant and community-focused pediatric dental clinic is excited to announce an opening for a Treatment Coordinator. This full-time position will augment our dedicated team in delivering exceptional dental care to our young patients. This critical role is based in our bustling office and is not eligible for remote work. The Treatment Coordinator will serve as a key liaison between our dentists, patients, and their families, ensuring a smooth and efficient experience in managing dental treatment plans.

The ideal candidate will be responsible for a variety of tasks related to patient treatment, including the presentation of dental treatment plans, insurance claim handling, and patient communication regarding financial responsibilities and benefits. This role requires a proactive, detail-oriented professional committed to maintaining the highest standard of patient care.

Duties and Responsibilities

  • Present detailed treatment plans to patients and their guardians, ensuring they understand the proposed care and associated costs.
  • Follow up with patients who have unscheduled treatments, encouraging them to complete their prescribed dental health regimens.
  • Verify and manage patient's dental insurance benefits and claims, acting as the main point of contact between insurance providers and the dental office.
  • Assess and analyze dental insurance policies to determine coverage for specific dental services and procedures.
  • Estimate costs for patients based on their insurance coverage and communicate these financial responsibilities clearly.
  • Enter patient and insurance information accurately into dental management systems, ensuring data integrity and confidentiality.
  • Maintain and generate reports regarding insurance activities and patient treatment plans.
  • Communicate effectively with patients and their families about appointments, treatments, and any necessary follow-up actions.
  • Provide exceptional customer service, addressing any patient queries or concerns with empathy and professionalism.
  • Participate actively in team meetings and training sessions to stay informed of the latest dental procedures and office protocols.

Requirements

  • High school diploma required; Bachelor’s degree in Business Administration, Health Administration, or a similar field preferred.
  • Proven experience as a dental treatment coordinator or similar administrative role within a dental office is highly desirable.
  • Strong familiarity with Dentrix software and other dental management systems.
  • Demonstrable skills in customer service and patient engagement.
  • Outstanding organizational and time-management abilities.
  • Excellent problem-solving skills and the ability to make decisions under pressure.
  • Meticulous attention to detail, ensuring accuracy in all insurance and patient data processing.
  • Strong communication skills, capable of handling sensitive information and discussing financial matters effectively.
  • Must be a team player, willing to support other staff members during peak times and contribute to team efforts.
