This pivotal role is strategically crucial for the smooth operation and effective administration of our office setup. As we continue to grow and expand our capabilities, the need for a dedicated Office Manager has become more apparent. This is a Full-Time position based out of our headquarters and is not available for remote work.
The Office Manager will play a vital role in not only maintaining but also enhancing the overall administrative duties of our firm. The successful candidate will be responsible for a wide range of activities including administrative functions, staff management, and ensuring compliance with company policies. This role demands a proactive, highly organized, and self-motivated individual who thrives in a dynamic, fast-paced environment.
Duties and Responsibilities
- Oversee the day-to-day operations of the office to ensure efficient and seamless functioning.
- Coordinate office staff activities to ensure maximum efficiency in performance of duties to meet company goals.
- Implement office policies and procedures, and ensure they are followed by all staff members.
- Manage internal staff relations and handle office conflicts professionally and according to company policy.
- Organize, schedule, and facilitate meetings, including making arrangements for venue, materials, and refreshments as needed.
- Maintain a safe, secure, and pleasant work environment.
- Manage communications and correspondence (phone, voicemail, email, mail), ensuring information is disseminated to appropriate staff.
- Supervise, mentor, and train new and existing staff as required.
- Handle sensitive information in a confidential manner.
- Coordinate and manage office supplies inventory and place orders as required.
- Maintain electronic and paper records ensuring information is organized and easily accessible.
- Conduct analysis and report on office performance metrics to enhance operations.
- Liase with department heads and senior management to ensure effective communication and management of office functions.
- Ensure compliance with all health and safety office regulations and adapt new regulations as necessary.
Requirements
- Proven experience as an office manager or administrative supervisor, particularly in a medical office environment preferred.
- Strong understanding of office management procedures, including financial and facilities management.
- Excellent organizational and leadership skills.
- Superior communication abilities with adeptness in both oral and written forms.
- Proficiency with office management software like MS Office (MS Excel and MS Word, specifically).
- A keen eye for detail and a problem-solving attitude.
- Ability to handle multiple tasks and meet deadlines, while maintaining accuracy.
- Empathetic and sociable; skilled in team management and collaboration.
- High school diploma or equivalent; higher education or certifications in office management are preferable.
- Commitment to maintaining a professional, customer-focused attitude at all times.
- Capability to maintain discretion and confidentiality in handling sensitive corporate matters.
- Understanding of the healthcare industry and related compliance regulations.
