The ideal candidate is a motivated, dependable professional who thrives in a busy environment, takes initiative, solves problems independently, and can manage multiple responsibilities without constant supervision.

We are not simply looking for someone who can work in an office. We need someone who knows how to run one.

Key Responsibilities

Accounting & Financial Management

  • Manage daily bookkeeping and financial transactions using QuickBooks Online.
  • Oversee accounts payable and accounts receivable.
  • Prepare, process, and track customer invoices and payments.
  • Manage vendor bills, payments, and account statements.

  • Assist with payroll processing and maintain accurate payroll records.
  • Monitor outstanding balances and follow up on collections.
  • Prepare financial reports and maintain accurate, organized accounting records.

Office Management & Daily Operations

  • Take ownership of day-to-day office operations and administrative responsibilities.
  • Maintain an organized, efficient, and professional office environment.

  • Handle confidential financial, business, and employee information.
  • Serve as a dependable point of contact for office-related matters.

Employee & Administrative Support

  • Assist with hiring coordination, onboarding, and new-hire paperwork.
  • Maintain accurate employee files and employment records.
  • Assist with employee timekeeping and payroll documentation.
  • Coordinate employment-related administrative requirements.
  • Support management with additional business and personnel needs.

Required Qualifications

  • Advanced proficiency in QuickBooks Online is REQUIRED.
  • Proven experience in business office management and bookkeeping.
  • Strong working knowledge of accounts payable, accounts receivable, invoicing, and financial reconciliations.
  • Experience with payroll processing and employee-related administrative responsibilities.

  • Strong written and verbal communication skills.
  • Ability to handle sensitive and confidential information professionally.
  • Strong problem-solving skills and the ability to make sound decisions.
  • Reliable, accountable, and comfortable working in a fast-paced environment.

Preferred Qualifications

  • Previous experience managing an office for an established small or midsize business.
  • Experience in landscaping, construction, contracting, or another service-based industry.
  • Full-charge bookkeeping experience.
  • Experience improving office procedures and administrative workflows.
  • Bilingual English/Spanish communication skills are a plus.

Who We're Looking For

The successful candidate will be someone who:

  • Takes ownership of responsibilities rather than waiting for direction.
  • Has the confidence and experience to independently manage a busy office.
  • Understands the importance of accuracy, organization, and financial accountability.
  • Can shift between bookkeeping, employee matters, customer communication, and office administration with ease.
  • Recognizes problems, develops solutions, and follows through.
  • Brings professionalism, dependability, and a strong work ethic to the position.
