HR Records & Documentation Coordinator

Job Summary / Brief

River Bend Agricultural Services LLC, a division of the Novus Ag network, is seeking an organized Remote HR Records & Documentation Coordinator to join our regional hub. This position is open to qualified candidates nationwide, operating on a fully remote schedule to support our expanding network footprint. In this role, you will manage our internal personnel files and provide advanced HR administrative support to our regional networks. You will build strong relationships by routing compliance updates, organizing digital document pipelines, and keeping corporate employee records moving efficiently to maximize human resources productivity.

Core Responsibilities

  • Document Management: Monitor employee agreement expiration dates, track certificate of compliance paperwork, and route digital onboarding terms to the correct regional HR manager.
  • Digital Administration: Coordinate electronic document signature workflows, track personnel profile credentials, and organize secure cloud file directories across our network database.
  • Data Maintenance: Maintain accurate employee record files, enter seasonal personnel updates, and log signed internal policy forms directly into our central HR database system.
  • Communication Integration: Monitor the central HR documentation inbox, resolve digital form discrepancies, and draft professional corporate correspondence for our regional management group.
  • Operational Syncing: Coordinate closely with corporate legal and regional payroll personnel to guarantee cohesive backend support and strict operational data compliance.

Applicant Requirements

  • Associate or Bachelor’s degree in Human Resources, Business Administration, or Legal Studies preferred (or equivalent professional experience); previous experience in document auditing, records management, administrative support, or corporate HR operations is valued.
  • Proven track record in digital document auditing, tracking file verification milestones, or record lifecycle tracking.
  • Strong computer skills with cloud file sharing, enterprise electronic signature platforms (e.g., DocuSign, Adobe Sign), and advanced proficiency in the Microsoft Office suite (Excel macros, formulas, data sorting).
  • Capability to thrive in a self-directed nationwide remote workspace, maintaining consistent digital connectivity.
  • Excellent communication skills with a natural ability to multitask in a fast-paced environment.
