We're looking for a Listing Coordinator who thrives on keeping projects moving and people accountable. The core of this role is managing everything that happens between a signed listing agreement and a home hitting the market — coordinating vendors, managing timelines, communicating with sellers, and making sure every detail is handled so our agents can focus on clients. This is a full-time, hybrid position based in the Bay Area.
At OWN Real Estate, we help over 100 families each year buy and sell homes across the Bay Area. We're a 20-agent team producing $200M+ annually, backed by 15 years of operating experience.
RESPONSIBILITIES
- Serve as the primary point of contact for sellers throughout the pre-listing process, keeping them informed, confident, and clear on next steps
- Identify, vet, and build relationships with vendors including stagers, photographers, inspectors, contractors, and cleaners
- Solicit, compare, and negotiate quotes from vendors to get the best value for our sellers
- Schedule and coordinate all pre-market work — staging, photography, repairs, inspections, and cleaning — ensuring everything happens on time and in the right order
- Own the pre-listing timeline for every active listing, proactively identifying bottlenecks and solving them before they delay the launch
- Communicate regularly with agents and leadership on listing status, open items, and any issues that need escalation
- Track project budgets, vendor invoices, and expenses for each listing
- Produce clear, concise status reports for leadership on all active listings in the pipeline
- Maintain vendor relationships and keep an updated roster of preferred vendors with performance notes
- Coordinate MLS submission and marketing asset delivery in partnership with our marketing team
QUALIFICATIONS
- 2+ years in a project coordination, vendor management, or operations role — real estate experience strongly preferred but not required
- Proven ability to manage multiple projects simultaneously without missing deadlines
- Strong negotiator who can get competitive pricing without burning vendor relationships
- Clear, professional communicator — with sellers, vendors, and internal team members
- Highly organized with sharp attention to detail and reliable follow-through
- Proactive by nature — you identify what needs to happen and handle it without waiting to be asked
- Comfortable producing status updates and reports for leadership
- Familiarity with transaction management tools, CRMs, or project management software a plus
- Bay Area market knowledge preferred
