Director of Operations & Transactions
We're looking for someone who can own outcomes, build systems, and keep multiple business functions moving forward without constant oversight.
At OWN Real Estate, we help over 100 families each year buy and sell homes across the Bay Area. We're a 20-agent team producing $200M+ annually, backed by 15 years of operating experience. We're also building Studio 1651, our in-house media agency, which means this role touches real estate operations, content production, and business development.
The Role
You'll work directly with our CEO to manage the operational backbone of the business:
Operations & Pipeline Management — Own and advance multiple business pipelines including seller lead flow, agent recruiting, commercial real estate opportunities, and social media content production. Manage CEO calendar and strategic priorities to protect high-leverage activities. Build scalable systems and workflows as the business grows. Coordinate key relationships with clients, vendors, partners, and professional networks.
Transaction Oversight — Oversee all real estate transactions from listing through close, working with our third-party transaction coordination company to ensure compliance and smooth execution. You won't be in DocuSign at 6pm, but you will ensure nothing falls through the cracks. Act as escalation point between escrow, title, lenders, clients, and agents when issues arise.
Compliance & Risk Management — Review critical disclosures and contracts for accuracy. Research property/zoning inquiries with city and county authorities. Identify potential legal issues and coordinate with brokerage counsel. Advise agents on compliance requirements and best practices.
Team Support & Problem-Solving — Serve as primary resource for agents' operational questions and challenges. Support sales team manager with training coordination, recruiting execution, and retention initiatives. Conduct regular KPI reviews to inform decision-making and identify operational improvements.
This is about owning functions. You'll have authority to make decisions, implement solutions, and shape how we operate as we scale.
Responsibilities
Strategic Operations (60%)
- Manage seller pipeline follow-up and conversion initiatives
- Coordinate recruiting outreach and candidate pipeline
- Track commercial deal opportunities and relationship development
- Oversee social media content production schedules and deliverables
- Build and document operational systems and standard procedures
- Manage CEO's professional calendar with strategic intent
- Drive cross-functional projects from conception to completion
- Oversee ancillary business development (staging, cleaning services, etc.)
Transaction Management (30%)
- Oversee transaction coordination process and third-party TC partnership
- Serve as escalation point for complex transaction issues
- Prepare commission demands and track agent cap/royalty progress
- Ensure compliance with all regulatory and brokerage requirements
- Maintain accurate records to support financial reporting and audits
- Review critical documents and identify potential issues before they become problems
Team Operations (10%)
- Support agent onboarding, training, and operational needs
- Conduct regular performance metric reviews
- Identify operational bottlenecks and implement solutions
- Foster strong internal communication and team culture
Qualifications
Required:
- 3+ years experience in operations management, business development, or real estate brokerage operations
- Proven track record managing multiple business functions simultaneously
- Strong systems-thinking and ability to build scalable processes
- Experience overseeing transaction coordination and compliance (direct TC experience preferred but not required if you understand the function)
- Excellent judgment and decision-making ability with incomplete information
- Superior organizational and project management skills
- Strong written and verbal communication
- Comfortable with technology and learning new platforms quickly
Preferred:
- Active California real estate license or deep familiarity with CA real estate transactions
- Experience managing sales pipelines, recruiting processes, or business development initiatives
- Background in a high-growth small business or entrepreneurial environment
- Familiarity with real estate CRM systems, MLS, DocuSign, SkySlope
- Project management certification or formal operations training

Details
- Full-time position, hybrid work environment (in-office and remote based on business needs)
- Occasional evening/weekend availability for transaction deadlines or strategic initiatives
- Compensation: $82,000 - $110,000 base salary depending on experience, plus performance bonus potential
