About the Role: Accolade Partners is seeking an Assistant/Office Coordinator to work in a close-knit 20-person team. An ideal candidate is a natural problem solver who takes pride in keeping things running smoothly, communicates with professionalism and warmth, and thrives in a fast-paced, detail-oriented environment.
Key Responsibilities:
- Executive Support:
- Provide administrative support to select partners, including travel planning, scheduling meetings, organizing and generating materials, coordinating logistics, follow-up actions and handling ad hoc requests
- Focus on CRM entries, follow-ups and reporting
- Manage partner expenses and fund reimbursement
- Help legal team with filings
- Front Office:
- Serve as a first point of contact for the firm - greeting and managing visitors, answering and directing incoming phone calls, managing correspondence, handling inquiries
- Ensure common spaces are tidy, organized, and look professional
- Aid in coordinating logistics for arriving visitors, including building access, meeting rooms set up, and hospitality arrangements
- Office Operations/Management
- Own the ordering and replenishment of office supplies, kitchen inventory, and other miscellaneous office needs
- Aid in company events, including meetings, occasional investor events and internal social gatherings.
- Assist with special projects and initiatives as assigned by partners
- Assist in managing catering orders for internal meetings and firm events
- Office Manager Coverage:
- In the absence of the Office Manager, serve as backup for coordinating visitor logistics, including building access, meeting room setup, and hospitality arrangements
Qualifications:
- 3+ years of experience in admin support, office coordination, or a similar administrative role within a professional services or financial environment
- Exceptional interpersonal and communication skills, both written and verbal
- High level of professionalism, particularly when interacting with investors, executives, and external partners
- Strong organizational skills and attention to detail, with the ability to manage multiple priorities simultaneously
- Discretion and sound judgment in handling sensitive and confidential information
- Proactive mindset with the ability to anticipate needs before they arise
- Positive team-first attitude with a genuine enjoyment of the work
- Bachelor's degree preferred
