Daniel F Galindo DDS PC, a renowned dental clinic committed to delivering exceptional dental care, is excited to announce the opening for a Dental Receptionist / Front Desk position. We are seeking a dedicated professional to join our dynamic team in a Full-Time capacity. Please note, this is not a remote job. The selected candidate will be required to work on-site at our well-equipped dental facility. This role demands a high degree of professionalism and an ability to manage various administrative tasks efficiently while contributing positively to the patient experience.

Duties and Responsibilities

  • Greet and welcome patients upon arrival with a friendly demeanor.
  • Answer phone calls promptly and professionally, managing inquiries and patient appointments.
  • Handle scheduling of appointments to optimize daily operations and patient flow within the clinic.
  • Carry out administrative duties such as filing, photocopying, and transcribing documents.
  • Ensure the reception area maintains a clean and inviting atmosphere for all patients and visitors.
  • Verify and update patient information at every visit to maintain accuracy in records and billing.
  • Process patient payments and handle billing inquiries with discretion and professionalism.
  • Coordinate with dental and medical professionals to ensure timely delivery of services to patients.
  • Manage patient recall system to ensure follow-ups and regular check-ups are scheduled appropriately.
  • Provide patients with detailed information regarding policies, procedures, and services offered by the clinic.
  • Ensure confidentiality and security of patient records in compliance with HIPAA regulations.
  • Participate in emergency response situations by following established protocols.
  • Maintain up-to-date knowledge of dental products and treatments available at the clinic to inform and educate patients adequately.
  • Assist in the handling of any patient grievances or complaints by providing solutions in a timely and efficient manner.
  • Support the dental team with other clerical duties as needed to ensure smooth clinic operations.

Requirements

  • Proven experience as a front desk officer, receptionist, or similar role, preferably in a dental or medical facility.
  • Strong understanding and knowledge of dentistry terminology and practices.
  • Excellent communication skills, both verbal and written, ensuring clear and professional patient interaction.
  • Highly organized with a keen attention to detail and the ability to manage multiple tasks simultaneously.
  • Compassionate and positive personality, with a client-focused approach to care.
  • Proficiency with office technology and software applications, including dental practice management software.
  • Ability to work flexible hours, including evenings and some weekends, to accommodate patient schedules.
  • Strong problem-solving skills, capable of handling office and patient challenges efficiently with discretion.
  • Commitment to ongoing professional development to keep skills relevant and useful.
  • Must be reliable, punctual, and capable of working effectively under minimal supervision.
  • Knowledge of HIPAA and other healthcare regulations, demonstrating an understanding of compliance in a healthcare setting.
  • Education: High school diploma or equivalent; additional certification in Office Management or Administration is a plus.
