Job Summary
We are seeking a professional, detail-oriented Office Manager to support the day-to-day office operations of our growing restoration business. This is a key on-site role that serves as a primary point of contact for clients, supports field crews, and ensures smooth office and scheduling operations.
The ideal candidate has excellent people skills, strong organizational abilities, and is comfortable handling sensitive situations with professionalism and compassion. This role also offers growth potential, with the opportunity to develop into a larger General Manager–style role over time.
Responsibilities
- Serve as a primary office and client-facing contact, both in person and over the phone.
- Communicate professionally and compassionately with clients, including discussions involving sensitive or graphic matters.
- Assist with preparing estimates and generating invoices.
- Create, manage, and adjust daily and weekly crew schedules.
- Track and manage equipment and inventory within the warehouse.
- Assist with dispatch phone coverage as directed.
- Maintain accurate records and documentation with strong attention to detail.
- Utilize Microsoft Office tools and AI solutions to improve office efficiency and workflows.
Required Qualifications
- High school diploma or equivalent.
- Some college coursework preferred (degree not required).
- Excellent written and verbal communication skills.
- Impeccable spelling, grammar, and attention to detail.
- Strong customer service and interpersonal skills.
- Comfortable communicating with clients in person and on the phone.
- Proficient in Microsoft Office (Word, Excel, Outlook, etc.).
- Demonstrable proficiency in AI and its application in a business environment.
- Ability to maintain professionalism in emotionally sensitive situations.
Preferred Qualifications
- Office management or administrative leadership experience.
- Management experience in any industry (restoration experience is a plus but not required).
- Experience in restoration, construction, or service-based industries.
Schedule & Availability
- On-site, Monday–Friday during normal business hours.
- Must be willing to assist with dispatch phone coverage as needed.
- Dispatch phone operates 24/7/365, which may occasionally require nights or weekends.
Compensation & Benefits
- $42,000–$48,000 annually, based on experience.
