Cole Dental Group is excited to announce an opening for a dedicated individual in the role of Dental Front Desk Operations at our well-established dental practice. This full-time position is essential for managing the first impressions we create and maintaining smooth operations at the front desk. The role is based on-site at our facility and is not eligible for remote work. As the forefront of daily patient interactions, the person in this role will play a crucial part in our mission to offer exceptional dental care.

Duties and Responsibilities

  • Greet patients and visitors in a courteous and professional manner, ensuring a pleasant experience right from the arrival.
  • Schedule and confirm patient appointments using our dental practice management software.
  • Manage patient check-ins and check-outs efficiently, and process payments at the time of service.
  • Answer incoming calls, handle inquiries, and provide detailed information about our services to patients and potential clients.
  • Maintain accurate and up-to-date patient records within the health information system.
  • Verify patient insurance details, submit claims, and handle insurance communications to ensure timely payments.
  • Coordinate with the dental team to manage daily administrative duties effectively, ensuring a seamless flow of operations.
  • Handle email correspondences and ensure timely responses to patient needs and inquiries.
  • Assist in the management of office supplies and inventory ensuring critical items are always available.
  • Maintain the cleanliness and organization of the front desk area to uphold a professional image.
  • Prepare regular reports on office efficiency and suggest any improvements in workflow as needed.
  • Manage emergency scheduling and patient communications in case of any schedule alterations due to unforeseen circumstances.

Requirements

  • High school diploma or equivalent; further education in office administration or related field is preferred.
  • Prior experience in dental front office operations, minimum of 2 years preferred.
  • Proficiency in using dental office software as well as experience with electronic health record (EHR) systems.
  • Strong organizational skills and the ability to multitask effectively in a busy environment.
  • Excellent interpersonal and communication skills, with a focus on patient-centered service.
  • Knowledge of dental terminology and understanding of dental insurance processes and claims management.
  • Ability to handle sensitive patient information with utmost confidentiality.
  • Highly detail-oriented with a critical eye for accuracy in scheduling and record management.
  • Ability to work well under pressure while maintaining a calm and professional demeanor.
  • Commitment to ongoing professional development in dental office management and patient care coordination.
  • Well-versed in basic bookkeeping and financial transaction processes.
  • Capability to work as part of a team, providing support to other areas of the practice as needed.
