Patient Scheduler

About the Role

We are seeking a detail-oriented and compassionate Patient Scheduler to support our healthcare team. In this role, you will be the first point of contact for patients, ensuring a smooth and positive scheduling experience. The ideal candidate is organized, tech-savvy, and able to communicate clearly in a fast-paced remote environment.


Key Responsibilities

  • Answer inbound calls, emails, and portal requests from patients regarding appointments, services, and scheduling needs.

  • Schedule, reschedule, and confirm appointments using the organization’s electronic health record (EHR) system.

  • Verify patient demographics, insurance information, and referral requirements prior to scheduling.

  • Provide clear instructions for appointment preparation, paperwork, or follow-up steps.

  • Manage provider calendars to maximize efficiency and minimize scheduling conflicts.

  • Document patient interactions accurately and in compliance with HIPAA standards.

  • Coordinate urgent appointment requests with clinical staff as needed.

  • Maintain professionalism, empathy, and service excellence during all patient interactions.

  • Monitor and respond to scheduling messages, voicemail, and queue tasks in a timely manner.

  • Identify and escalate issues related to patient concerns, workflow barriers, or system errors.


Required Qualifications

  • High school diploma or GED.

  • 1+ year of experience in medical scheduling, patient access, call center, or healthcare customer service.

  • Strong verbal and written communication skills.

  • Comfortable using multiple systems simultaneously (EHR, scheduling tools, CRM, telephony platforms).

  • Ability to work independently with minimal supervision in a remote setting.

  • Reliable internet connection and secure, distraction-free workspace.

  • Strong attention to detail and accuracy in data entry.

  • Ability to maintain confidentiality and adhere to HIPAA regulations.

  • Preferred QualificationsExperience with Epic, Athenahealth, Cerner, NextGen, or other medical scheduling systems.

  • Bilingual (e.g., English/Spanish).

  • Knowledge of medical terminology and insurance plans.

  • Previous experience working in a high-volume call environment.
