Job Description

We are seeking a qualified Remote Clinical Operations Coordinator to assist in refining and overseeing the operational aspects of our virtual patient care platform. This role offers the flexibility of remote work and requires an individual who can ideally contribute 20-30 hours per week.

The successful candidate will play a crucial role in supporting our clinical operations, focusing particularly on areas such as clinic and medical practice onboarding, staff schedule coordination and training, and enhancing internal communication protocols. This position is designed for someone who is highly organized, proactive, and adept at managing multiple priorities within a healthcare setting. As a part-time role, it affords considerable flexibility, though consistency and reliability are key attributes we expect.

Duties and Responsibilities

  • Assist with the onboarding processes for clinics, including new staff and healthcare providers, ensuring a smooth transition into our operational framework.
  • Support and coordinate ongoing clinic meetings, from setting agendas to ensuring timely execution and effective follow-up on actionable items.
  • Facilitate internal communications among clinical teams to ensure message clarity and consistency across departments.
  • Manage updates and adjustments to staff schedules, addressing any conflicts or needs that arise in a timely manner.
  • Work collaboratively with leadership to analyze and improve operational workflows and efficiency within the clinical practice setting.
  • Coordinate the training and onboarding of new clinical staff members, ensuring all resources are effectively utilized and all regulatory requirements are met.

Requirements

  • Proven experience (minimum of 5 years) in medical practice settings, particularly in an operations or administrative capacity.
  • Demonstrable organizational and communication skills, with a proven ability to handle multiple tasks efficiently in a fast-paced environment.
  • High proficiency with modern office software and technology, including scheduling tools, Microsoft Excel, Google Apps, and Electronic Health Records (EHR) systems.
  • Must be based in the U.S. and able to work at least 20 hours per week, with flexibility to adapt to an evolving schedule.
  • Team-oriented mindset with strong attention to detail, capable of both leading and collaborating within cross-functional teams.
