As a Virtual Administrative Assistant at SouthEnd Psychiatry, you will play a vital role in supporting our administrative operations and enhancing our efficiency in delivering exceptional psychiatric services to our clients.
Duties and Responsibilities
- Manage and maintain digital records, ensuring all documentation is up-to-date and securely handled.
- Handle scheduling of appointments, meetings, and sessions for psychiatric professionals within the organization, optimizing their time management.
- Provide comprehensive administrative support to clinicians, including preparation of session notes, reports, and other documentation as needed.
- Process invoices, billing, and reimbursement procedures accurately and timely.
- Maintain confidentiality of all patient records and interactions as per standard health care compliance and regulations.
- Engage with clients via telephone or email, offering excellent customer service and responding promptly to inquiries or concerns.
- Support the management team with data entry, analysis, and the preparation of presentations and reports for internal and external stakeholders.
- Contribute to continuous improvement initiatives by providing feedback on administrative processes and assisting in the implementation of process improvements.
Requirements
- Proven experience as an Administrative Assistant or similar role, preferably in a healthcare setting.
- Strong proficiency in various office software, including Microsoft Office Suite (Word, Excel, PowerPoint) and virtual communication platforms (such as Zoom, Microsoft Teams).
- Excellent written and verbal communication skills, with the capability to handle sensitive information confidentially.
- High school diploma required; a degree in business administration, communications, or a relevant field is preferred.
- Ability to work independently and as part of a team, demonstrating effective time-management and problem-solving skills.
- Detail-oriented with strong organizational skills and the ability to multitask in a dynamic environment.
- Experience with electronic health records (EHR) systems is advantageous.
