Job Description

SouthEnd Psychiatry, a leading mental health service provider, is thrilled to announce the availability of a new position within our dynamic team. We are currently looking to hire a dedicated and efficient Administrative Assistant. This is a Full-Time role crucial to our day-to-day operations, facilitating the smooth running of our services. The position is based onsite, as this is not a remote job opportunity. The selected candidate will be an essential part of our administrative team, supporting our staff and ensuring that our clients receive the best possible care through seamless service delivery.

The role of an Administrative Assistant at SouthEnd Psychiatry involves a range of clerical and administrative tasks designed to maintain or improve the efficiency of our office operations. Duties and Responsibilities

  • Maintain and update patient records, ensuring compliance with legal and ethical confidentiality requirements.
  • Manage the front desk operations including handling phone calls, scheduling appointments, and greeting clients.
  • Facilitate communication between patients, family members, and healthcare professionals within the clinic.
  • Prepare and distribute written, electronic, and verbal communications as needed.
  • Organize, schedule, and update calendars for clinic staff.
  • Assist in the preparation of regular reports and presentations.
  • Perform basic accounting tasks, such as billing and bookkeeping.
  • Oversee the management of office supplies including ordering and maintaining inventory.
  • Ensure all office equipment is maintained and serviced, arranging repairs as necessary.
  • Support staff with the availability of necessary office resources to facilitate client sessions and meetings efficiently.
  • Monitor office expenditures and handle all office contracts (rent, service etc.).
  • Streamline office procedures to ensure maximum efficiency of the clinic's administrative operations.

Requirements

  • Proven experience as an Administrative Assistant or similar administrative role.
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
  • Excellent time management skills and the ability to prioritize work.
  • Attention to detail and problem solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to multi-task.
  • High School degree; additional qualification as an Administrative assistant or Secretary will be a plus.
  • Knowledge of office management systems and procedures.
  • Working knowledge of office equipment, like printers and fax machines.
  • High degree of professionalism in dealing with diverse groups of people, including executives, senior management, and staff.
  • Ability to maintain strict confidentiality regarding payroll, benefits, and employee records.
  • Experience in handling clinical or medical administration is a plus.
