Position Summary The Clinical Director role ensures that all clinical staff provide ethical, evidence-based treatment in accordance with BACB guidelines, payer requirements, and company policies. The Clinical Director provides leadership, supervision, and training to BCBAs and RBTs while promoting positive client outcomes and staff development.
Clinical Oversight & Quality Assurance
• Ensure treatment plans and interventions are individualized and data-driven.
• Review documentation for accuracy and compliance.
• Monitor client progress and ensure timely program modifications.
• Ensure implementation of evidence-based practices.
• Maintain high treatment fidelity across cases.
Staff Supervision & Development
• Provide supervision and mentorship to BCBAs and RBTs.
• Conduct observations and performance evaluations.
• Ensure supervision meets BACB requirements.
• Support onboarding and provide corrective feedback when needed.
Training & Professional Development
• Conduct trainings on ABA principles and interventions.
• Ensure staff competency and ongoing development.
• Promote continuing education. Caregiver & Stakeholder Collaboration
• Oversee caregiver training for generalization of skills.
• Collaborate with families, schools, and providers.
• Attend meetings as needed.
Operational & Administrative Support
• Monitor productivity and scheduling.
• Support staffing and RBT placement.
• Collaborate with billing and admin teams.
• Ensure compliance with payer requirements. Authorization Coordination & Clinical Review • Review treatment plans prior to submission to authorization department.
• Provide feedback to ensure medical necessity.
• Participate in peer-to-peer review calls.
• Complete or assist with appeals for denials.
• Monitor authorization expirations and notify BCBAs 1 month in advance. (office puzzle provides Auth expiration date)
Compliance & Ethics
• Ensure HIPAA and Medicaid compliance.
• Maintain audit readiness.
• Ensure timely documentation completion
Key Performance Indicators
• 95%+ session note compliance within 48 hours.
• 100% of auth expirations communicated 30 days in advance.
• Supervision requirements met for all staff.
• Timely completion of treatment plan reviews.
Staffing Coordination & Case Assignment
• Collaborate with the hiring and recruitment department to support staffing needs across all cases.
• Participate in regular meetings with the hiring team to review current openings, staffing gaps, and client needs.
• Assist in the assignment of BCBAs to cases based on clinical needs, experience level, location, and caseload capacity.
• Ensure appropriate clinical match between clients and assigned BCBAs to promote effective treatment outcomes.
• Provide input on staffing priorities, urgent coverage needs, and case transitions.
• Support continuity of care by assisting with reassignment of cases when staffing changes occur.
BCBA Responsibilities
• Maintain a small caseload of up to five 5 clients to ensure high-quality, individualized care.
• Meet and maintain the required 5% supervision of all assigned RBTs in accordance with payer and BACB requirements.
• Provide ongoing caregiver training to support skill generalization and consistency of interventions across environments.
• Ensure timely completion of treatment plan reviews, including updates, reassessments, and required documentation in accordance with payer guidelines and company standards.
