Nurse Registry Staffing Coordinator & Recruiter

Salary Range:  $20 - $25 hour

The Staffing Coordinator & Recruiter is responsible for end-to-end staffing operations, including recruitment, onboarding, scheduling, and ongoing management of licensed nurses and allied health professionals. This role ensures that Aiding With Care maintains a strong, compliant, and reliable contractor pipeline while meeting client care needs in accordance with Florida Nurse Registry regulations. The position combines operational staffing coordination with proactive recruitment to support agency growth, referral demands, and continuity of care.

Staffing and Scheduling: Coordinate daily, weekly, and long-term staffing assignments for RNs, LPNs, CNAs, HHAs, and other approved contractors. Match client care needs with appropriately licensed and credentialed contractors. Maintain adequate staffing coverage for new referrals, ongoing cases, and urgent placements. Confirm contractor availability, assignments, and shift expectations. Manage call-outs, shift coverage, replacements, and emergency staffing needs

Recruitment and Talent Pipeline Development: Actively recruit qualified nurses and caregivers through job boards, social media, referrals, career fairs, and community outreach. Post, manage, and optimize job listings to attract high-quality contractors. Screen applicants to ensure minimum qualifications, licensure, and compliance requirements are met. Conduct initial interviews and coordinate onboarding for approved contractors. Maintain an active pipeline of pre-screened, ready-to-work contractors. Collaborate with leadership on recruitment strategies to support growth and referral volume. Represent Aiding With Care at job fairs, health fairs, and recruitment events as needed

Contractor Management and Compliance: Verify and maintain current contractor credentials, including licenses, certifications, background screenings, insurance, physicals, CPR, and required documentation. Ensure all contractors meet Florida Nurse Registry statutory and regulatory requirements: track license renewals, expirations, and compliance deadlines. Maintain accurate contractor files and compliance records in AVA/HR or applicable systems. Support contractor orientation and ongoing engagement to improve retention

Client Coordination and Support: Serve as a primary point of contact for clients, families, and referral partners regarding staffing and scheduling. Communicate care needs, assignment details, and expectations clearly to contractors. Address scheduling issues, service concerns, and operational inquiries promptly and professionally. Escalate complex concerns to leadership as appropriate

Documentation and Systems Management: Maintain accurate records of recruitment, staffing, and scheduling in internal systems. Document applicant screening, onboarding status, and assignment confirmations. Generate staffing, recruitment, and compliance reports as requested. Support audits, internal reviews, and regulatory inspections

Coordinate staffing for new referrals in collaboration with intake and leadership teams. Provide real-time updates on staffing capacity and recruitment needs. Support outreach initiatives by ensuring staffing readiness for new partnerships and contracts. Assist with special projects, process improvements, and operational initiatives as assigned
