As an Administrative Assistant, you will play a crucial role in the smooth functioning of our office, ensuring efficient operations and a positive experience for our patients. Your day-to-day involvement will support both clinical and administrative teams, making your role critical to our success.

Key Responsibilities

  • Schedule and confirm patient appointments to optimize provider schedules.
  • Communicate with patients regarding appointments, reminders, and follow-ups.
  • Support office marketing initiatives, including patient communications, outreach campaigns, and online presence.
  • Assist with coordinating referrals and community marketing efforts.
  • Maintain accurate patient and administrative records in compliance with HIPAA.
  • Provide administrative support to the clinical and front office teams.
  • Assist with reports, tracking, and daily administrative tasks as needed.
  • Support smooth day-to-day operations to ensure a positive patient experience.

Requirements

  • Authorized to work in the United States.
  • Willing to drive and visit office within 10 miles from the main office to conduct marketing activities.
  • Has in-person marketing experience.
  • Has in-person customer service experience.
  • Good communication skills, both oral and written.
  • Prior experience working in a healthcare or dental office preferred.
  • Experience with patient scheduling and appointment coordination preferred.
  • Experience supporting or managing marketing activities, including digital, social media, patient outreach, or referral programs required.
  • Strong verbal and written communication skills.
  • Excellent organizational and time-management abilities.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Proficiency with office software and practice management systems.
  • Professional, patient-focused demeanor.
