Job Description
The Senior Virtual Assistant at SCADA Solutions, Inc. will play a pivotal role in supporting our senior management and various departments with administrative, technical, and clerical tasks. As a vital member of our team, you will facilitate effective communication and ensure that day-to-day operations run smoothly. This position is ideal for self-starters who are adept at managing multiple tasks in a dynamic, fully remote environment.
Duties and Responsibilities
- Provide comprehensive administrative support to senior management and other team members, ensuring all tasks are performed efficiently and effectively.
- Manage correspondence by answering emails and sorting mail, handling routine queries independently and escalating more complex issues as necessary.
- Assist in the preparation of regularly scheduled reports, and maintain organized files and records.
- Plan and schedule meetings, appointments, and manage travel itineraries.
- Prepare and edit communications, presentations, and other documents by analyzing data and formatting content appropriately.
- Manage project timelines and follow-ups, ensuring clear communication and progress tracking across teams.
- Handle confidential information with discretion and maintain the security of vital documents and electronic files.
- Contribute to team effort by accomplishing related tasks as needed and stepping in to assist with team projects.
- Stay current with technological and organizational trends to optimize virtual workflow and team communications.
- Support the team by performing tasks related to organization and strong communication.
Requirements
- Must be authorized to work in the US.
- Proven experience of 5+ years as a Virtual Assistant or similar executive support role.
- High proficiency in managing documents, spreadsheets, and databases with advanced knowledge of Microsoft Office Suite, Google Workspace, and related software.
- Excellent written and verbal communication skills, with a firm grasp of English grammar and the ability to produce well-constructed documents.
- Strong organizational and time management skills, with the capacity to prioritize tasks and manage multiple timelines efficiently.
- Experience in managing remote communication and facilitating remote team interactions.
- Attention to detail and problem-solving skills are crucial to effectively manage tasks and respond to executive requirements rapidly.
- Demonstrated ability to handle confidential information and the discretion required to manage sensitive matters appropriately.
- A self-motivated and proactive approach to work with minimal supervision while maintaining team cohesion and meeting tight deadlines.
- Technical aptitude with the ability to troubleshoot and learn new software quickly, keeping up with digital transformation demands.
