Duties and Responsibilities
- Coordinate and manage appointments for clients and internal staff efficiently across various time zones.
- Utilize scheduling software to update and maintain accurate appointment details.
- Communicate effectively with clients and staff via phone and email to confirm appointments and reschedule if necessary.
- Handle multiple calendars and ensure there are no scheduling conflicts.
- Provide reminders for upcoming appointments to relevant parties to optimize attendance rates.
- Monitor and report on appointment status, providing updates to team members as needed.
- Review and suggest improvements in the scheduling process to enhance efficiency.
- Respond to scheduling related queries and resolve issues promptly to ensure client and staff satisfaction.
- Participate in team meetings to discuss updates, challenges, and workflow improvements.
- Ensure confidentiality and security of all communication and documentation.
- Adapt to new scheduling tools and technologies as they are integrated into the company infrastructure.
- Maintain a proactive stance in understanding project requirements and deadlines to mitigate potential scheduling conflicts.
Requirements
- High school diploma or equivalent; further education or certification in office management is a plus.
- Proven experience as an appointment scheduler or a similar role involving administrative coordination.
- Strong familiarity with scheduling software like Microsoft Outlook, Google Calendar, and other calendaring tools.
- Excellent communication skills, both verbal and written, with an emphasis on timely and empathetic communication practices.
