As the Admin Office Manager at SCADA Solutions, Inc., you will lead and handle administrative duties while ensuring the smooth operation of our business activities. Your role is crucial in supporting our company's executives and staff, coordinating logistics, managing office supplies, and ensuring all internal reporting is conducted efficiently. This position demands a highly organized, pro-active professional capable of managing their workload and supporting a team from a remote environment.

Duties and Responsibilities

  • Develop and implement office policies and procedures to ensure smooth functioning of the office.
  • Manage correspondence with clients, suppliers, and other external business contacts.
  • Maintain a safe and secure working environment, following all safety communication and documenting control procedures.
  • Organize meetings, including scheduling, sending reminders, and organizing catering when necessary.
  • Handle the acquisition and maintenance of office supplies and equipment.
  • Manage contracts and price negotiations with office vendors and service providers.
  • Coordinate with IT department to ensure all employees have the technology support they need in a timely manner.
  • Prepare regular reports on expenses and office budgets, and manage office funds.
  • Organize office operations and procedures to enhance efficiency and manage filing systems.
  • Supervise administrative staff and allocate responsibilities to ensure performance.
  • Assist HR with hiring processes, orientation for new employees, and maintenance of employee records.
  • Ensure top performance from staff by organizing training and planning sessions and managing work allocation.
  • Handle queries from managers and employees, and feed necessary information to the front office.
  • Plan in-house or off-site activities, like parties, celebrations, and conferences.
  • Optimize office space use and handle maintenance issues to ensure consistent uptime and professional appearance at all times.

Requirements

  • Proven experience as an Office Manager, Front Office Manager, or Administrative Assistant.
  • Solid knowledge of office procedures and basic accounting principles.
  • High proficiency in MS Office, particularly Excel, Outlook, and Word.
  • Experience with remote support systems and cloud-based tools like Google Workspace or Microsoft Teams.
  • Excellent ability to manage multiple tasks and prioritize workload efficiently.
  • Strong communication and interpersonal skills, with proficiency in managing business correspondence.
  • Attention to detail and problem-solving skills.
  • High school diploma; additional qualifications in Office Administration or a relevant field preferred.
  • Outstanding leadership and organizational abilities.
  • Ability to maintain a confidential work environment and manage sensitive data.
  • Familiarity with email scheduling tools, like Email Scheduler or Boomerang.
  • Capacity to monitor junior staff’s performance and provide feedback and coaching.
  • Flexibility and adaptability to manage from a remote setting.
