Mail Clerk needed for busy law firm. This position needs to be highly professional and organized and will be a vital role in the day-to-day operations of the firm by managing all incoming and outgoing correspondence.
Key Responsibilities:
- Receive, open, date-stamp, and sort all incoming mail and packages.
- Distribute mail and deliveries to the appropriate attorneys, paralegals, and staff.
- Prepare and process outgoing mail, including certified, priority, and overnight packages (FedEx, UPS, USPS, etc.).
- Maintain accurate logs of incoming and outgoing legal documents, especially court filings, medical records, and client correspondence.
- Assist with scanning and electronically filing incoming documents into the firm’s case management system.
- Deliver documents to local courts, post offices, and other law firms as needed.
- Monitor and restock mailroom supplies, including postage, envelopes, and shipping materials.
- Ensure all correspondence is handled with strict confidentiality and in compliance with firm policies and legal standards.
- Assist administrative staff with general clerical duties, such as photocopying, filing, and organizing case materials.
- Support the administrative team with special projects as assigned.
Qualifications:
- High school diploma or equivalent required; some college or office experience preferred.
- Prior experience in a law firm or professional office setting is a plus.
- Strong organizational and time-management skills.
- Ability to handle confidential information with discretion.
- Basic computer skills, including Microsoft Office and document management software.
- Strong attention to detail and accuracy.
- Ability to lift and move packages up to 25 lbs.
- Reliable, punctual, and professional demeanor.
Work Environment:
This position primarily works onsite in the firm’s office.
