Administrative Assistant

Salary Range:  $24 - $33 hour

The Administrative Assistant provides essential clerical and organizational support to the president of a busy personal injury law firm. This role assists management and staff with daily administrative tasks, coordinates communications, maintains records, and helps keep business activities running smoothly.

Key Responsibilities

  • Office Administration
    • Manage and maintain schedules, appointments, and meetings.
    • Answer and direct phone calls and handle inquiries professionally.
    • Prepare, edit, and proofread correspondence, reports, and presentations.
    • Organize and maintain paper and electronic filing systems.
    • Handle incoming and outgoing mail, deliveries, and emails.
  • Clerical & Operational Support
    • Assist in data entry, document management, and record keeping.
    • Order and maintain office supplies and equipment.
    • Support company projects and team activities as assigned.
    • Help coordinate travel arrangements and meeting logistics.
    • Maintain confidentiality with sensitive company and client information.
  • Administrative Management
    • Prioritize and manage multiple projects and deadlines 
    • Track tasks, follow up on commitments, and ensure timely completion of projects delegated by the President.
    • Assist with preparation of firm performance reports and business analytics. 
  • Communication & Coordination
    • Serve as a point of contact between internal departments and external clients or vendors.
    • Ensure smooth information flow within the office.
    • Assist in preparing reports, spreadsheets, and presentations for management

Qualifications

  • Education: High school diploma required; Associate’s or Bachelor’s degree preferred.
  • Experience: 3-5+ years of administrative or office support experience required.
  • Skills:
    • Strong organizational and multitasking abilities.
    • Excellent written and verbal communication skills.
    • Proficiency in Google Suites or Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
    • Familiarity with office management software or systems.
    • Professional demeanor and ability to handle confidential information.
