Position Overview:
We are currently seeking a highly experienced and detail-oriented Executive Assistant to serve as a trusted right-hand to the President of the firm. This role is ideal for someone with strong communication skills, is highly organized, proactive and capable of juggling multiple responsibilities while maintaining a calm and professional demeanor.
Key Responsibilities:
- Executive Support:
- Manage and maintain the President’s calendar.
- Prioritize and handle incoming communications (emails, calls, letters) on behalf of the President.
- Prepare and organize documents for meetings, presentations, and legal briefings.
- Coordinate logistics for meetings, client engagements, and firm events.
- Handle finance & distribution activities when needed.
- Operational Support:
- Track and follow up on tasks, deadlines, and strategic initiatives.
- Draft correspondence, reports, and memos with high attention to detail.
- Liaise between the President and other attorneys, department heads, clients, and vendors.
- Project & Office Coordination:
- Assist in managing firm-wide initiatives and special projects.
- Provide backup support for office receptionists/ administrative staff.
- Client Relations:
- Uphold the firm’s client service standards when communicating with clients or handling client-related matters.
- Ensure prompt and professional handling of client issues directed to the President.
Qualifications:
- 5+ years of experience in a high-level executive assistant role; legal industry experience preferred.
- Strong understanding of the legal industry, especially personal injury, is a plus.
- Excellent written and verbal communication skills.
- Proficient in Google Suite; familiarity with legal software is a bonus.
- Strong organizational and multitasking abilities with keen attention to detail.
- Ability to maintain strict confidentiality and professionalism.
- Bachelor's degree preferred, or equivalent experience.
