Position Overview
This full-time role is ideal for someone who thrives in a support capacity, is highly organized, and enjoys balancing multiple priorities. As a Virtual Assistant/Administrator, you will play a key role in streamlining our internal processes and supporting cross-functional teams.
Key Responsibilities
Manage daily administrative duties, including scheduling meetings, maintaining calendars, and supporting day-to-day operations.
Facilitate timely communication through email, chat, and video conferencing to assist internal teams and clients.
Prepare and organize business documentation such as reports, presentations, and correspondence.
Track project milestones and deadlines, ensuring tasks are completed efficiently and on schedule.
Maintain and update internal systems and databases; perform routine data audits for accuracy.
Collaborate with various departments to ensure seamless coordination and workflow.
Handle sensitive information with discretion and maintain strict confidentiality.
Assist in preparing business and financial analytics reports.
Support digital marketing efforts by managing social media content in coordination with the marketing team.
Stay current with industry best practices and tools to enhance virtual productivity.
Qualifications
Proven experience as an administrative or virtual assistant, or in a similar support role.
Proficiency with digital tools including desktop sharing, cloud platforms, and VoIP communication.
Strong knowledge of Microsoft Office Suite and spreadsheet tools.
Experience managing calendars and scheduling tools (e.g., Google Calendar).
Excellent communication skills across phone, email, and messaging platforms.
Exceptional time management, organizational, and multitasking abilities.
Strong attention to detail and problem-solving capabilities.
Excellent written and verbal communication in English.
High school diploma required; additional administrative or secretarial qualifications are a plus.
