Job Summary:
The Reception / HR Coordinator is the heartbeat of the office and a key partner to the Human Resources team. This role blends front desk hospitality with people-focused administrative support, ensuring employees, candidates, and visitors have a welcoming, positive and seamless experience while supporting core HR and people operations functions.
Key Responsibilities:
Front Desk & Office Experience
Serve as the primary point of contact for visitors, customers, candidates, and vendors
Greet and welcome guests warmly and manage visitor check-ins
Answer and route phone calls, emails, and general inquiries
Maintain a clean, organized, and welcoming reception and common area
Coordinate office supplies, snacks, mail, and deliveries
Support office events, meetings, and employee gatherings
Human Resources Support
Assist with employee onboarding and offboarding processes
Prepare welcome experiences with new hire materials, badges , equipment coordination
Maintain employee records and HR documentation (digital and physical)
Support recruiting coordination, including interview scheduling and candidate communication
Assist with internal communications, announcements, and people initiatives
Help coordinate training sessions, team events, and engagement programs
Support compliance tasks and audits as needed
Skills and Qualifications:
Background in hospitality, retail, customer service, or other high-energy, people-facing environments where professionalism, responsiveness, and attention to detail are essential
Proven ability to thrive in dynamic settings with frequent interaction, shifting priorities, and a strong team culture
Strong interpersonal and communication skills
High level of professionalism and discretion with sensitive and confidential information
Comfortable juggling multiple priorities in a fast-paced environment
Proficiency with Google Workspace, Microsoft Office, and/or HR systems (bonus)
Naturally welcoming, friendly, and service-oriented
