We are currently seeking a Billing Administrative / Front Reception professional to fill a vital role in our administrative operations. This position is Full-Time and requires the candidate to work onsite at our office, as it is not eligible for remote work arrangements. The successful applicant will play a pivotal role in managing our front desk operations while ensuring efficient handling of our billing processes.

Duties and Responsibilities
- Manage the front desk while greeting and directing visitors appropriately.
- Handle incoming calls, providing information, taking messages, or redirecting calls to appropriate departments.
- Execute billing tasks using QuickBooks, ensuring accuracy and timely dispatch of invoices.
- Maintain and organize electronic and hard copy billing files.
- Track the status of jobs, updating spreadsheets and reporting to management as needed.
- Prepare payroll and ensure that all related records are accurately maintained.
- Purchase office and kitchen supplies, managing inventories to ensure availability of necessary materials.
- Assist in the preparation and maintenance of financial documents.
- Provide general administrative and clerical support including mailing, scanning, faxing, and copying.
- Maintain professional appearance and conduct that reflect the company’s values and standards.
Requirements
- Proven experience in billing and administrative roles, preferably in a front office setting.
- Competency in QuickBooks with a specific focus on billing processes.
- High degree of professionalism in appearance and demeanor.
- Reliability with a track record of adhering to ethical work standards.
- Strong ability to multitask and prioritize work effectively.
- Quick learner with the ability to easily adapt to new programs and systems.
- Excellent customer service skills with experience in handling calls professionally.
- Proficient in using Microsoft Office Suite, particularly Excel for spreadsheet management.
- Clean background check, ensuring compliance with company and regulatory standards.
- Experience in preparing payroll documents and understanding basic financial transactions.
