The International Center for TMJ & Jaw Surgery and Mama's Pediatric Dentistry are fast-growing, patient-centered practices committed to delivering compassionate care in a professional and supportive environment. We are seeking a reliable, detail-oriented Patient Scheduling Coordinator to be the first point of contact for our patients and to ensure a smooth, efficient scheduling experience.
The ideal candidate is warm, organized, and proactive — able to manage complex scheduling needs while maintaining a calm and friendly demeanor under pressure. You will work closely with our clinical and administrative teams to coordinate appointments, maximize provider availability, and ensure that each patient receives timely and clear communication.
This is a key front office role that requires excellent phone etiquette, a strong grasp of scheduling systems, and the ability to anticipate and solve logistical challenges before they affect patient care.
Key Responsibilities:
Serve as the primary point of contact for patients, providing information about treatment options and answering any questions they may have and always greeting patients in person and by phone in a welcoming and professional manner
Accurately schedule consultations, follow-ups, procedures, and recalls based on provider preferences and availability in turn managing the schedule efficiently
Confirm appointments, send reminders, and follow up with no-shows or reschedules as appropriate
Coordinate insurance verification and collect necessary documentation prior to appointments
Manage high call volume while maintaining attention to detail and composure
Communicate treatment plans, expected charges, and appointment instructions clearly and empathetically
Coordinate with healthcare providers to ensure seamless patient care and follow-up.
Maintain accurate patient records and documentation in compliance with privacy regulations.
Handle administrative tasks such as filing, managing correspondence, and collecting patient payments.
Support the office team in maintaining a clean and welcoming environment for patients.
What We're Looking For:
Previous experience in a medical or dental scheduling role preferred
Strong interpersonal and communication skills to build rapport with patient and colleagues
High attention to detail and accuracy
Excellent organizational skills with the ability to multitask in a fast-paced environment.
Familiarity with dental or medical administrative support processes, including insurance verification and billing procedures.
Ability to work collaboratively within a team while also being self-motivated.
