We are seeking a motivated, reliable, and solutions-focused Assistant Manager to support daily operations and help lead our team to success.
Key Responsibilities:
- Support the Doctors in overseeing daily operations and team performance, including patient check-in/check-out, phone scheduling, and follow-ups
- Maintain the accuracy and confidentiality of patient records and documentation ensuring HIPAA compliance
- Coordinate provider operatory schedules for optimal chair utilization and to ensure smooth appointment flow and minimize patient and provider wait times
- Establish and monitor recall, treatment plans, and follow up systems to maintain a full schedule without letting patients fall through the cracks
- Maintain cleanliness and organization of front desk and waiting areas
- Lead by example to maintain high standards of customer service and professionalism
- Assist in training and supervising staff and support cross-training with back office where needed
- Communicate effectively with doctors, staff, and patients
- Implement and uphold office policies and standard operating procedures
- Help resolve patient issues, ensure satisfaction, and respond timely to prevent escalation
- Monitor and analyze operational metrics to identify improvement areas
- Maintain compliance with company policies and safety procedures
- Step into manager role when needed and provide backup support to team members during absences or busy periods
Qualifications:
- Prior experience in a supervisory or leadership role preferred
- Prior experience in a dental practice, preferably 2+ years
- Familiarity with dental procedures and terminology
- Understanding of OSHA & HIPAA compliance requirements
- Strong communication and interpersonal skills
- Excellent problem-solving and organizational skills
- Dependable, proactive, and detail oriented
- Flexibility to step in wherever needed
- Compassionate, professional demeanor when interacting with anxious or pediatric patients and their families
- Strong phone etiquette and follow up skills
- High attention to detail in managing appointments, patient ledgers, documentation, and patient communication
- Strong time management and ability to handle a fast-pace while multi-tasking
- Skilled in resolving patient concerns tactfully
