Job Description

Disinfectant Solutions of Atlanta, a leader in hygiene and sanitation services, is excited to announce the opening for a full-time Office Assistant. This position is crucial to the smooth running of our daily operations and will be based in our Atlanta office. The role is ideal for someone who thrives in a dynamic, fast-paced environment and is keen to contribute to the effectiveness of our office procedures. Please note, this is an onsite opportunity and is not eligible for remote work.

Duties and Responsibilities

  • Answer phones and route calls to the correct person or take down messages.
  • Assist in recruiting new staff by providing administrative support during the hiring process.
  • Handle routine clerical tasks including filing, photocopying, and faxing documents.
  • Perform data entry duties with attention to detail and accuracy.
  • Manage office supplies inventory and place orders as necessary.
  • Assist in scheduling and organizing meetings, including coordination of digital calendars.
  • Prepare meeting agendas and provide necessary background documents.
  • Perform receptionist duties: greet visitors and provide information as needed.
  • Assist with travel arrangements and bookings for senior staff.
  • Maintain electronic and paper records ensuring information is organized and easily accessible.
  • Conduct research and prepare presentations or reports as assigned.

Requirements

  • Proven experience as an office assistant or in another relevant administrative role.
  • Thorough understanding of office management procedures and departmental and legal policies.
  • Familiarity with office gadgets and applications (e.g., e-calendars, printers, copy machines).
  • Excellent organizational and time-management skills.
  • Outstanding communication and interpersonal abilities.
  • Bilingual abilities (English/Spanish preferred) to communicate effectively with a diverse client and staff base.
  • Ability to multitask and prioritize daily workload.
  • High level of discretion and confidentiality for both business and client information.
  • A high school diploma; additional qualifications in Office Administration are a plus.
  • Proficiency in MS Office, particularly Excel, Word, and Outlook.
