As a Dental Front Office Assistant at Embark Dental, you will play a crucial role in the daily administration and coordination of the clinic. Duties and Responsibilities
- Greet patients warmly upon entry, and manage the check-in process ensuring all information is accurate and up-to-date.
- Answer phone calls, manage appointment schedules, and provide patients with a clear understanding of their scheduled visits and what is expected of them.
- Handle administrative requests and queries from senior managers organizing and scheduling appointments with admin software (Software: Oryx).
- Prepare and distribute written correspondence such as letters, memos, and emails, and ensure efficient and effective communications within the office.
- Create and update records ensuring the accuracy and confidentiality of patient information at all times adhering to HIPAA regulations.
- Process billing and payments, verify insurance details, and handle financial transactions.
- Ensure the reception area is well maintained, clean, and presents a welcoming environment for everyone.
- Assist in the preparation of regularly scheduled reports and compile data as necessary.
- Develop and maintain a filing system for important and confidential company documents.
- Provide general support to visitors and solve any emerging problems guests might face with accuracy and efficiency.
Requirements
- Provides amazing customer service over the phone and in-office.
- Comfortable in reviewing treatment plans with patients.
- Knowledgeable with Dental Insurance and collecting payments.
- Comfortable entering patient data into our system and maintaining HIPAA compliance.
- A team player and knows how to have fun!
- Proven experience as a Front Office Assistant or in another relevant administrative role is preferred.
- Familiarity with office machines (e.g., fax, printer, etc.)
- Knowledge of office management systems and procedures.
- Proficient in MS Office (MS Excel, MS Word) and office management software (ERP etc.)
- Strong organizational and planning skills.
- Excellent written and verbal communication skills.
- Attention to detail and problem-solving skills.
- High School diploma; additional qualifications will be a plus.
