Position Summary
We are seeking an experienced and trustworthy Part-Time Bookkeeper to manage financial transactions, maintain accurate records, and support leadership in financial decision-making. The ideal candidate is highly organized, detail-oriented, and proficient in QuickBooks Online. This remote position offers flexible hours, with the expectation of availability during traditional business hours for weekly check-ins and ad hoc requests.
Key Responsibilities
Accounting & Recordkeeping
- Post daily financial transactions in QuickBooks Online
- Maintain accurate documentation using ShareFile and Adobe Acrobat
- Process invoices, bills, bank deposits, and payments
- Reconcile bank and credit card accounts monthly
Accounts Payable/Receivable
- Monitor and manage AP/AR to ensure timely payments and collections
- Prepare and process accurate invoices
- Track outstanding balances and follow up as needed
Payroll Support
- Assist in payroll preparation and processing via Paychex Flex
- Verify hours and prepare reports for final approval
- Respond to payroll-related inquiries and maintain records
Budget & Grant Tracking
- Support budget creation and grant expense tracking
- Monitor expenditures by funding source to ensure compliance
Financial Reporting & Audit Support
- Prepare monthly, quarterly, and annual financial reports
- Generate profit and loss statements and balance sheets
- Assist with audit prep and provide documentation to auditors
Compliance & Confidentiality
- Adhere to internal controls and nonprofit accounting standards
- Maintain strict confidentiality regarding all financial matters
- Report any conflicts of interest or breaches of confidentiality immediately
Qualifications
Required
- ~3 years of experience in bookkeeping or related financial role
- ~3 years of hands-on QuickBooks Online experience
- Proficiency in Microsoft Excel, Word, and Adobe Acrobat
- Strong time management and communication skills
- Ability to work independently and meet firm deadlines
- High school diploma or equivalent
- Must be eligible to work in the U.S.
- Must be available for weekly meetings and communications during business hours
Preferred
- Experience with nonprofit or grant accounting
- Familiarity with Paychex Flex and ShareFile
- Experience with HUD-related programs or housing organizations
Technology Requirements
- Reliable computer with high-speed internet
- Webcam and microphone for virtual meetings
- Dual monitors recommended
