Schulte Family Dentistry is excited to announce an opening for a proactive and dedicated Front Desk Coordinator to join our vibrant and friendly team. This full-time position offers the opportunity to contribute to a supportive and professional dental office environment that prides itself on top-quality patient care. As the first point of contact for our patients, the successful candidate will play a pivotal role in setting the tone for service excellence and patient satisfaction.

This is a non-remote job based in our well-equipped, modern dental practice. We place a strong emphasis on maintaining a warm and welcoming atmosphere for both our patients and staff. This role is ideal for someone who thrives in a fast-paced environment and is committed to ensuring that our administrative operations run smoothly and efficiently.

Duties and Responsibilities

  • Greet patients as they arrive in a warm and professional manner.
  • Check patients in and out of their appointments efficiently.
  • Collect payments and manage transactions with accuracy.
  • Manage, organize, and update relevant data using database applications.
  • Answer and forward phone calls, schedule appointments, and maintain calendars.
  • Provide patients with intake and new customer forms as well as copies of our office policies and legal documents.
  • Assist patients in understanding their dental insurance coverage and file insurance claims as necessary.
  • Prioritize daily tasks efficiently to ensure that all responsibilities are completed on time.
  • Effectively communicate with a multidisciplinary team of healthcare professionals within the office to provide the highest level of coordinated care.
  • Be accountable for the cleanliness of the front desk area and waiting room, ensuring all areas are neat, tidy, and stocked with the necessary supplies.
  • Maintain a professional appearance and demeanor at all times, promoting a positive image of the practice.

Requirements

  • Proven experience in a customer service role, preferably in a healthcare or dental clinic setting.
  • High school diploma required; further education or certification in office administration or a related field is a plus.
  • Strong understanding of dental insurance plans and claims processing.
  • Exceptional communication and interpersonal skills.
  • Ability to multitask, prioritize, and manage time efficiently without compromising quality of work.
  • Excellent organizational and leadership skills.
  • Proficiency in using healthcare database software, Microsoft Office Suite, and other administrative programs.
  • Commitment to maintaining a clean, organized, cheerful, and efficient workspace.
  • Must be kind, love people, and enjoy working as part of a cohesive team.
  • Demonstrate a professional and positive demeanor, always ready to smile and engage pleasantly with patients.
  • Self-motivated and driven to maintain excellent patient services and care.

Our Office Hours are Monday - Friday 7:40am- 5:00pm.
