Position Overview We are seeking a highly organized, proactive, and tech-savvy Executive Administrative Assistant to directly support the CEO. This role is critical to keeping operations running smoothly, managing communications, and helping execute key initiatives across sales, marketing, and client delivery.

This is not a passive admin role—we’re looking for someone who can think ahead, move fast, and handle multiple priorities with precision.

Key Responsibilities

  • Manage CEO calendar, scheduling, and daily priorities
  • Coordinate meetings, Zoom calls, and follow-ups
  • Assist with CRM management (Salesforce) and lead tracking
  • Research and manage prospect data using ZoomInfo
  • Support online course/platform management 
  • Handle internal communications and task coordination
  • Prepare documents, reports, and presentations
  • Assist with sales and marketing workflows as needed
  • Help manage client-related administrative tasks

Qualifications

  • Proven experience as an Administrative Assistant or Executive Assistant
  • Hands-on experience with:
  • Salesforce (preferred)
  • ZoomInfo (preferred)
  • Thinkific (preferred)
  • Experience working in or with healthcare organizations strongly preferred
  • Exceptional organizational and multitasking skills
  • Strong written and verbal communication
  • Ability to prioritize and execute quickly in a fast-paced environment
  • High attention to detail and problem-solving mindset
  • Self-starter who takes initiative without constant direction
