The Front Desk Administrator will serve as the initial point of contact for our patients, ensuring they feel welcomed and managed with the highest level of care and efficiency.
Duties and Responsibilities:
- Greet clients in a courteous and professional manner
- Manage and schedule appointments effectively using our practice management software
- Answer phone calls, responding to inquiries and transferring calls as necessary
- Check-in patients upon arrival, verify and update personal and insurance information
- Check-out patients, process payments, and schedule follow-up appointments
- Maintain confidentiality of all patient records following HIPAA guidelines
- Prepare, manage, and file patients' clinical records and charts
- Coordinate with dental practitioners and hygienists to ensure smooth patient flow
- Handle daily administrative tasks such as faxing, copying, and filing documents
- Maintain a clean and welcoming front office area
- Foster a supportive and pleasant environment that reassures patients and visitors
- Participate in regular staff meetings to go over any updates or changes in office protocols
Requirements:
- High school diploma or equivalent; further coursework or certification in office administration is a plus
- Proven experience as a front desk administrator, office admin, or relevant role within a healthcare setting, preferably in a dental care environment
- Familiarity with office machines (e.g., fax, printer, phone systems)
- Strong communication and interpersonal skills
- Excellent organizational and multitasking abilities
- A strong team player with a positive attitude and ability to work under pressure
- Detail-oriented with a strong focus on accuracy and efficiency
- Capacity to handle confidential and sensitive information
