Position Summary
The Sleep Champion is a pivotal role responsible for overseeing the administrative and operational functions of our dental sleep practice. This individual ensures seamless coordination of patient care for individuals with sleep-related disorders while maintaining robust systems for compliance, business management, and workflow efficiency. As the central point of contact between patients, providers, and external vendors, the Sleep Champion plays a vital role in delivering compassionate, comprehensive, and efficient care.
Key Responsibilities
Patient Coordination & Communication
Communicate via text, email, and fax to obtain and organize medical records.
Follow up with patients regarding treatment plans, scheduling, and documentation.
Coordinate with referring physicians to ensure all necessary documentation is obtained.
Monitor and support patient adherence to prescribed sleep device treatment plans.
Confirm appointments at least 48 hours in advance and manage automated communications.
Administrative & Clinical Operations
Maintain patient records and ensure proper documentation in EHR and other platforms.
Implement clinical orders and recommendations from the sleep dentist.
Understand and manage insurance requirements for accurate and timely claims submission.
Track and maintain all patient communications and follow-ups within system timelines.
Assist with billing company coordination for coding and billing procedures.
Compliance & Confidentiality
Ensure adherence to HIPAA and other federal/state laws regarding healthcare information.
Maintain confidentiality and professionalism at all times, especially under pressure.
Demonstrate critical thinking and independent problem-solving.
Team Collaboration & Performance Monitoring
Participate in team calls with internal staff and external providers.
Share regular updates and insights on patient progress and system improvements.
Monitor key performance indicators (KPIs) such as call conversions, scheduling efficiency, and financial collections.
Provide monthly performance reports including actionable recommendations for process optimization.

Familiarity with medical/dental terminology and the sleep treatment landscape.
