Position Summary
The Front Desk Admin is the face of our practice—responsible for delivering a friendly, professional first impression and ensuring the smooth flow of front office operations. In addition to traditional receptionist duties, this role includes supporting our dental sleep medicine services by helping manage patient communications, records, and coordination with referring providers.
Key Responsibilities
Front Desk Duties
Greet and check in patients with warmth and professionalism
Answer phones, respond to emails, and manage daily office communications
Schedule appointments and send confirmations/reminders
Verify insurance eligibility and collect co-pays or balances
Maintain cleanliness and organization of the front office area
Assist with treatment plan coordination and financial discussions when needed
Sleep Coordination Support (Part of Role)
Help collect and organize medical records and sleep study results
Understand and manage insurance requirements for accurate and timely claims submission.
Assist with billing company coordination for coding and billing procedures.
Communicate with referring physicians and external providers
Follow up with patients regarding sleep device therapy and required documentation
Track patient progress in sleep treatment plans (under guidance from the sleep dentist)
Support insurance verification and documentation for sleep-related treatments
Share regular updates and insights on patient progress and system improvements.
Participate in team calls with internal staff and external providers.
What We're Looking For
1–3 years of experience in a dental front office or similar healthcare setting
Must have experience reading and interpreting EOBs, with a strong understanding of insurance contracts and fee schedules
Strong communication and customer service skills
Organized and detail-oriented with the ability to multitask
Familiarity with dental office software and EHR systems(Advanced MD is a plus!)
Willingness to learn about dental sleep medicine and contribute to that aspect of the practice
Understanding of HIPAA and commitment to patient confidentiality
Insurance knowledge (both dental and medical is a plus, especially sleep-related)
Preferred but Not Required
Experience working in a dental sleep or medical sleep practice
Knowledge of oral appliance therapy or sleep apnea treatment processes
Bilingual (English/Spanish) is a plus
