Job Description Summary
The Administrative Office Coordinator is responsible for processing information necessary to maintain an efficient flow of internal and external documents. The Office Coordinator will perform duties and responsibilities in a manner consistent with core values, mission statement, corporate values & service excellence.
Duties (include, but are not limited to the following):
- Answer Company phone; transfer to the appropriate employee and/or department.
- Data entry.
- Assist with Medical Order supplies and inventory.
- Sends and maintains physician orders, determining that they are kept current and within compliance with agency policy/processes, as well as Medicare regulations.
- Provides assistance to the Director and Supervisors as well as interact with HR, preserving the confidential nature of items of which he/she has knowledge.
- Provides referral intake coverage.
- Maintains the files, supplies, postage and general office condition in an orderly manner.
- Other related duties as assigned by the Supervisor and/or Director, as needed.
- Complies with Tender Care Home Health Compliance Plan.
- Complies with Tender Care Home Health’s HIPAA Policies.
- Punctuality is important in this position as you are the first line of customer service for the office.
- Other tasks as assigned.
Working Environment:
a) Equipment and Supplies: Prudent and efficient use of routine office supplies and equipment.
b) Knowledge and Competency: Must demonstrate basic knowledge of all procedures included in the Office Coordinator job description. Must have the ability to follow instructions from their immediate Supervisor and/or Clinical Director, and other professional staff. Ability to communicate effectively with managers, and co-workers. Maintains confidentiality of information relating to patient.
c) Physical Demands: Must be able to read normal typewritten print. Have corrected vision and hearing within normal range and have manual dexterity with normal range of motion of all extremities. Must be able to drive a vehicle. May be requested to work weekends, holidays, and occasional overtime.
d) Work Ethic: Complies with the Tender Care Home Health dress code, projects a professional attitude toward self, patients, and other staff members.
Position Qualifications:
- High school graduate or equivalent.
- Knowledge of basic clerical and communication principles.
- Computer literate.
- Punctuality in this position is needed.
- Ability to work with clerical personnel.
- Ability to work within a healthcare setting with clinicians.
- Demonstrates good communication and public relations skills.
- Demonstrates autonomy, organization, assertiveness, flexibility and cooperation in performing job responsibilities.
- Ability to multi-task in a fast paced environment.
- Ability to work within office hours of 8a-5p Monday through Friday.
- A valid driver’s license, with a good driving record.
- Ability to complete tasks timely.
- Process oriented
- Maintain positive and clean work environment
- Must be able to maintain a professional appearance.
- English is required.
- Spanish is a plus.

Eligibility to enroll in benefits is after 60-Day Introductory period completion and coverage effective 1st day of following month after eligibility).
- Life Insurance (Tender Care provides $30,000.00 Life Insurance at no cost to employees. Eligibility after 60-Day Introductory period completion).
- 401(K) with Employer matching contribution up to 3% (3.5% employer contribution with 4% employee’s contribution, and 4% employer contribution 5% employee’s contribution. Eligibility after 1 year of employment is completed. Enrollment available twice annually).
- Three (3) sets of scrubs every 2 years.
- Paid time off (3.08 hours of PTO per pay period accrued during 1st year of employment)
- Paid holidays (New Year’s Day, Good Friday, Memorial Day, Independence Day, Labor Day, Thanksgiving, Day after Thanksgiving, Christmas Eve, and Christmas Day.)
