This position is integral to the functioning of our dental office. It combines roles of Patient Care Coordinator (PCC), Office Manager, and Scheduler. It's an on-site job, offering an incredible opportunity to interact directly with patients and ensure the smooth operation of the front office. Duties and Responsibilities
- Manage the front office activities to ensure excellence in patient reception and overall office coordination.
- Schedule patient appointments efficiently to optimize the workflow and dentist’s calendar.
- Maintain updated records of patient appointments, payment transactions, and insurance verifications.
- Facilitate effective communication between patients, dentists, and other medical professionals involved in patient care.
- Oversee administrative procedures and documentation to comply with medical and legal requirements.
- Handle patient inquiries over the phone and in-person, providing clear and courteous information.
- Manage inventories of office supplies and reorder as necessary to maintain proper office operations.
- Coordinate with the dental team to develop and implement strategies for improving customer service and operational efficiency.
- Ensure confidentiality and security of patient records in accordance with HIPAA regulations.
- Process billing and payment procedures, submitting dental claims and managing account receivables.
- Prepare regular reports on office performance and patient feedback to facilitate continuous improvement.
- Lead, motivate, and supervise front office staff to foster a collaborative and efficient team environment.
Requirements
- Proven experience in dental office management or a similar role in healthcare administration.
- Strong understanding of dental scheduling and billing software systems.
- Excellent organizational and leadership skills.
- Exceptional communication and interpersonal skills to interact effectively with patients and staff.
- Knowledge of dental terminology, procedures, and diagnosis.
- Ability to multitask and manage multiple priorities in a fast-paced environment.
- Commitment to providing high quality customer service and patient care.
- Understanding of insurance policies and claims processing in a dental context.
- Familiarity with regulatory requirements of healthcare operations, including HIPAA.
- High school diploma or equivalent; further education in Medical Administration or relevant fields is preferred.
- Strong IT skills and proficiency in MS Office (especially MS Excel).
